It's time to run your event! Check below for the information and tips that you need to make your event successful.

EVENT INFORMATION

For each event, your club or society must consider the following:

Event Applications (Activities Dashboard)

Making sure that you have submitted an event application on the Activities Dashboard. This should be the first step in planning and organising your event!

What's On Calendar - Student-facing events

Use the 'Events' tab in your Admin Tools to easily create an event that students can see on our Events Calendar.

Room Bookings

If you require a room for your event, please request this through your event application at least 1 week before your event. The sooner, the better!

Risk Assessments

You will have received a link to your Risk Assessment from your coordinator. You only need 1 risk assessment during the year - please make sure this is updated regularly and is correct at least 5 days before your event.

Guest Speaker Booking

If you're hosting an external speaker, you will need to submit your guest speaker form at least 4 weeks before the event by logging an activity on the Activities Dashboard. 


If you're hosting an internal speaker, you will need to submit your guest speaker form at least 2 weeks before the event.

ACCIDENTS AND NEAR MISSES

It's important to make sure that you report and accidents or near misses that happen at your club or society events. 

We understand that while all reasonable precautions can be taken, accidents, incidents and near misses may still occur during your event or activity. 

Clubs and Societies must recognise the importance of reporting all near misses for everyone's future safety. Together, we can work to make sure that your events are a safe place for all students. It is a legal requirement to record all injuries or accidents that happen at your event or activity. 

If a serious injury takes place, please submit the form and then contact your coordinator ASAP to arrange a meeting to discuss the incident.
